Overview

WaveWage helps restaurant operators run real-time, sales-aware bonus pools and pay them out at end of shift. This policy explains what data WaveWage LLC, an Arizona limited liability company ("WaveWage"), collects when you use it, why we collect it, and the choices you have. It applies to our marketing site, the operator dashboard, and the employee app.

We collect two broad kinds of data: information operators and employees give us directly, and operational data we sync from the systems a restaurant already uses: primarily its scheduling and time-tracking provider.

02

Information we collect

Account information

When an operator signs up, we collect the business name, the locations being managed, and the name, email, and role of each user who is granted access.

Time, attendance, and pay data

  • Employee names, roles, and base wage rates as configured for each location.
  • Clock-in and clock-out records and the hours derived from them.
  • Point-of-sale totals and tagged events used to size the bonus pool.
  • The bonus amounts each rule produces and the end-of-shift payout that results.

Usage and device data

Like most web applications, we record basic technical data (IP address, browser type, and pages viewed) to keep the service secure and reliable. We do not build advertising profiles.

03

How we use information

  • To calculate bonus pools and end-of-shift payouts from synced sales and hours.
  • To show operators and employees live, accurate views of what has been earned.
  • To operate, secure, debug, and improve the product.
  • To communicate with operators about their account, billing, and material changes.

We do not sell personal information, and we do not use employee pay or attendance data for anything other than running the service the operator has set up.

04

A note on employee data

For employee pay and attendance data, the restaurant operator is the controller (it decides what is collected and why) and WaveWage acts as a processor on the operator's behalf. If you are an employee and want to access or correct your data, or have questions about how your pay is calculated, start with your employer; we will support their request.

05

How we share information

We share data only with the service providers needed to run WaveWage, each under contract and only for the purpose described:

  • Scheduling / time-tracking integration (e.g. TimeForge): to read the hours, schedules, and attendance a payout is based on.
  • Payments (e.g. Stripe): to process subscription billing. Card details go directly to the processor; WaveWage never stores full card numbers.
  • Cloud hosting and email delivery: to run the application and send account notifications.

We may also disclose information if required by law, or to protect the rights and safety of our users and the public.

06

Data retention

We keep account and payout records for as long as an operator's account is active and as needed to provide the service. Pay and attendance records are retained to support reconciliation and any record-keeping obligations the operator has. When an account is closed, we delete or anonymize personal data within a reasonable period, except where we must retain it to meet legal obligations.

07

How we protect it

We encrypt data in transit and at rest, scope access by role, and isolate each tenant's data. Our Security page describes the controls in more detail.

08

Your choices and rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to certain processing. Operators can manage most of this directly in the dashboard. For anything else, email us and we will respond within a reasonable time. We will never charge you for, or retaliate against, a privacy request.

09

Cookies

We use a small number of cookies that are strictly necessary to keep you signed in and to keep the app secure. We do not use third-party advertising or cross-site tracking cookies.

10

Changes to this policy

If we make a material change, we will update the date at the top of this page and, for significant changes, notify operators by email. Continued use of WaveWage after a change means you accept the updated policy.
